Bookings

Every rental line on an order becomes a booking: one product, one set of dates and a quantity. Bookings are created from Shopify orders within a minute, whatever the order came from, and they follow the order as it is fulfilled, edited, refunded or cancelled.

Statuses

Status	Meaning
Booked	Paid, not handed over yet.
Out	With the customer. Set when you fulfill the order in Shopify, or with Mark out.
Due back	The return day has come. Set by the daily job.
Overdue	Shown instead of the status once the return day has passed.
Returned	Back with you; the deposit isn't settled yet.
Closed	Returned and settled.
Cancelled	The dates are free again.
Conflict	The order's dates were already full. See below.

Customers see a simpler version on their order status page: Booked, With you, Due back, Returned, Completed or Cancelled.

Bookings list

Bookings lists open bookings by default (booked, out, due and conflict). Filter by Status, by From and To dates, or Search by order, customer name or email.

Select bookings to Mark out several at once, or Cancel bookings. Cancelling frees the dates; it doesn't cancel or refund the Shopify orders.

A booking's page

Each booking shows the order, the customer, the dates and the deposit, with these actions:

Mark out and Mark returned. Marking returned opens the return form; see Returns and deposits.
View order opens the order in Shopify.
Return report opens a printable report of the booking and its return.
Cancel booking frees the dates. It doesn't cancel or refund the order: do that in Shopify.

Reschedule

Enter new dates and click Check and save. DueBack checks them against your stock and swaps them in one step, so if the new dates are taken the old ones stay booked. Rescheduling doesn't charge or refund the customer for a different length.

History

Every change is written to the booking's history with who made it: booked from the order, marked out, rescheduled, due back, returned, the deposit refund or invoice, and closed.

Changes in Shopify

Order fulfilled	Booked becomes Out.
Order cancelled	Booked or Conflict bookings are cancelled and their dates freed. If the item is already out, the cancellation is only noted and the dates stay held.
Rental line refunded in full	The booking is cancelled. A partial refund is only noted.
Deposit line refunded	Noted in the history.
Line removed by an order edit	The booking is cancelled. A smaller quantity is noted.

Lines added by an order edit aren't booked.

Conflicts

Orders from POS, draft orders and order edits skip the checkout check, and two checkouts can very rarely finish at once. When an order's dates are already full, DueBack still records the booking, marks it Conflict and emails you Action needed: … has rental dates that are already booked. Home shows a banner with the count.

Open the booking and Reschedule it to dates that are free, or Cancel booking and refund the order in Shopify.

Orders without dates

A rental line with no dates, for example from a draft order, is booked from the order day for the variant's rental length. If an order's end date doesn't match the variant's length, DueBack corrects it and notes it in the history.
